What makes SolFlutter different from other consultants?
SolFlutter provides both strategy and hands-on implementation. From the initial discovery through building and launching systems, the technical work is handled so teams don't have to manage multiple vendors or add another project to their workload. Clients receive working solutions that are ready to use.
How long does a typical project take?
It depends on the scope and complexity. Essential tier projects typically take 4-6 weeks, Standard projects run 6-8 weeks, and Enterprise projects can take 8-12+ weeks. Timeline also depends on how quickly clients can provide feedback and any necessary content. A clear timeline will be provided during the discovery call based on the specific project.
What if I'm not sure which service I need?
Schedule a discovery call! The conversation will cover what's not working in the organization - whether it's time lost to manual tasks, supporters dropping off, or both. Guidance will be provided on which service makes the most sense and which tier fits the organization's needs and budget. Sometimes organizations benefit from both services, and phasing or prioritization can be discussed.
What happens after the project is complete?
Organizations will have fully implemented systems, comprehensive documentation, and trained teams to manage everything independently. All projects include 30-60 days of post-launch support (depending on tier) for troubleshooting and questions. After that, systems should run on their own. If ongoing support is needed or additional projects are desired, that can be discussed separately.
Do I need to provide content, or do you create it?
It depends on the project. For Onboarding & Engagement, email copy and landing page content are written as part of the service. For Efficiency & Automation, if a knowledge base is being set up, the organization provides the information and SolFlutter organizes and structures it. For other automations, the technical setup is handled and organizations provide any specific messaging or content for emails or communications. Content responsibilities will be clarified during discovery.
What tools and platforms do you work with?
SolFlutter is platform-agnostic and works with whatever tools make sense for the organization and budget. Common platforms include WordPress, Webflow, HubSpot, Mailchimp, Salesforce, Zapier, Notion, Asana, and Google Workspace, among others. If tools are already in place, SolFlutter works with them. If recommendations are needed, options will be suggested based on needs and budget.
What types of workflows can be automated?
Common workflows include customer support (FAQ responses, ticket routing), internal processes (task assignments, approvals, notifications), donor communications (thank-you emails, receipts, nurture sequences), volunteer management (application confirmations, scheduling, reminders), event registration and follow-up, and program applications. Most repetitive tasks that follow a predictable pattern can be automated. During discovery, SolFlutter will assess which workflows make the most sense to automate based on where the organization is losing the most time.
Do I need to know which tools I want to use before we start?
No. If the organization already has tools in place, SolFlutter works with them. If not, or if current tools aren't working well, recommendations will be provided based on needs, budget, and team capacity. Tool selection is part of the strategy phase - the focus is on finding what actually solves the problem, not forcing a specific platform.
Will my team need technical skills to manage the systems you build?
No. Systems are built to be manageable by non-technical teams. Comprehensive documentation and training are provided so staff can confidently use and maintain the systems. The goal is to create solutions that work without requiring ongoing technical expertise or outside support.
Can you integrate with our existing tools and platforms?
Yes, in most cases. SolFlutter works with a wide range of platforms and can typically integrate existing tools (CRM, email platform, donation processor, forms, etc.). During discovery, current systems will be reviewed to confirm compatibility and identify any limitations. If an integration isn't possible with existing tools, alternative solutions will be recommended.
Do you build custom software or just use existing tools?
SolFlutter uses existing tools and platforms rather than building custom software. This approach is more cost-effective, easier for teams to maintain, and allows for flexibility if needs change. Solutions are built using reliable platforms like Zapier, HubSpot, Mailchimp, and other established tools that are designed for automation and integration.
How do you research our supporters and users?
Research methods are tailored to the project and what will provide the most useful insights. This may include user surveys to gather feedback at scale, one-on-one interviews to understand experiences in depth, and analysis of existing data (website analytics, email metrics, donation patterns, user behavior). The specific approach is determined during discovery based on what information the organization already has and what gaps need to be filled.
What if we don't have much data about our audience yet?
That's common, especially for newer organizations or those just starting to track engagement. Research can begin from scratch through surveys and interviews with current supporters, users, or participants. Even small sample sizes can provide valuable insights. SolFlutter will work with whatever information is available and build a research plan that makes sense for the organization's stage and resources.
Do you write the copy for emails and landing pages?
Yes. Email sequences and landing page copy are included in the Onboarding & Engagement service. SolFlutter will work with the organization's existing brand voice and messaging guidelines, or help establish tone and messaging if needed. The organization reviews and approves all copy before implementation.
What platforms do you build onboarding systems in?
SolFlutter works with the platforms the organization already uses. For email-based onboarding, this includes tools like Mailchimp, HubSpot, Constant Contact, or other email and automation platforms. For landing pages, work can be done in WordPress, Webflow, or other web platforms depending on what's in place. For product/app onboarding, SolFlutter works with in-app tools like Appcues, Userpilot, Userflow, Mixpanel, and Intercom. If recommendations are needed for new platforms, options will be suggested based on the organization's needs, budget, and technical capacity.
How do you know what will actually improve engagement?
Research and data analysis inform what's not working in the current experience. By talking to users, analyzing drop-off points, and understanding what motivates people to stay engaged, solutions can be designed to address specific barriers. The approach is based on user feedback and behavioral patterns, not assumptions. For higher-tier projects, A/B testing provides additional validation of what's most effective.
What if our onboarding needs are really basic - is this service still right for us?
Yes, the Essential tier is designed for straightforward onboarding needs. Even "basic" onboarding benefits from research and strategic design. A simple welcome sequence that's well-researched and thoughtfully designed will outperform a complex system built on assumptions. The service can be scaled to match the organization's actual needs rather than adding unnecessary complexity.
What happens if the onboarding system isn't performing as expected?
All projects include post-launch support to monitor performance and troubleshoot issues. If something isn't working as expected, adjustments can be made during the support period. For Standard and Enterprise tier projects that include A/B testing, performance is actively monitored and optimizations are recommended. The goal is to ensure the system is actually improving engagement before the project wraps up.
What's the difference between Essential, Standard, and Enterprise tiers?
The tiers are based on project scope and complexity, not quality of work. Essential tier addresses a single, focused problem with straightforward solutions. Standard tier tackles more complex operational areas with multiple connected workflows or deeper research needs. Enterprise tier is for organization-wide challenges requiring sophisticated automation, extensive research, or multi-system integration. The Flexible tier offers hourly consulting for custom needs, ongoing support, or exploring solutions before committing to a full project. All tiers include strategy, implementation, training, and support - the difference is the scale and complexity of what's being built.
What's included in the price?
The price covers SolFlutter's time and expertise for the entire project: discovery and audit, strategy and recommendations, hands-on implementation, documentation, training sessions, and post-launch support. What's not included: the cost of third-party tools, software subscriptions, platform fees, or payment processing fees. Organizations are responsible for any ongoing costs associated with the tools and platforms used in their systems.
Do you charge for discovery calls or consultations?
No. Initial discovery calls are free. These 30-minute conversations help determine if there's a good fit, which service makes sense, and what tier is appropriate for the organization's needs. There's no obligation - it's simply an opportunity to discuss challenges and explore potential solutions.
What if my project doesn't fit into one of your tiers?
Enterprise tier projects are custom scoped and priced based on specific needs. For smaller scope work or ongoing support, the Flexible tier at $100/hour might be a better fit. If a project falls between tiers or has unique requirements, a custom proposal will be created. The goal is to provide a solution that actually solves the problem, not force a project into a tier that doesn't fit.
Can I upgrade from one tier to another mid-project?
It depends on the situation. If the scope expands significantly during discovery or implementation, the project can be adjusted with an updated proposal and pricing. However, clear scope definition at the start helps avoid this. If additional needs are identified mid-project, they can often be addressed as a separate, follow-on project rather than expanding the current one.
What's your refund or cancellation policy?
If a project needs to be cancelled before work begins, the deposit is refundable minus any discovery and planning work already completed. Once implementation has started, refunds are prorated based on work completed to that point. SolFlutter works to ensure projects are the right fit from the start to avoid cancellation situations. Specific terms will be outlined in the project contract.
